CUSTOMER PRIVACY NOTICE

Your privacy is very important to us. Accordingly, we have developed this Policy in order for you to understand how we collect, use, communicate and disclose and make use of personal information. The following outlines our privacy policy.

K Wilkie Computer Services (KWCS) is committed to protecting your privacy and ensuring that your personal information is collected and used appropriately, lawfully and transparently.

WHO WE ARE

K Wilkie Computer Services is an IT repair shop and Managed Services Provider.

We sell and provide a variety of IT-related products and services, ranging from PC and laptop repairs, Hardware components, software solutions and systems, to fully managed Small Business maintenance and website solutions.

WHAT PERSONAL INFORMATION WE HOLD

KWCS collects personal information including:

  • your name
  • company name
  • address
  • mobile and telephone numbers
  • e mail addresses
  • Device types (including make/model and serial numbers) and operating systems
  • System login details (including passwords)

HOW WE COLLECT PERSONAL INFORMATION

KWCS collects personal information directly from you. We obtain this information when we receive your request for our services. This may be via telephone conversations, email, text message, social networking sites, and contact forms via our website or face to face interactions.

ON WHAT BASIS DO WE COLLECT PERSONAL INFORMATION

We will only collect and use personal information solely with the objective of fulfilling those purposes specified by us and for other compatible purposes.The management of your personal information is permitted under a number of lawful bases. These include the following:

  • The information obtained for the provision of products and services is managed on the basis that there is a contract with you to do so.
  • Any relevant marketing or feedback request activity is performed because KWCS has a legitimate interest to do so. However, you have rights (as listed below) which affect how we can use and process your information.

HOW WE USE YOUR PERSONAL INFORMATION

KWCS processes your information in order to support and maintain our contractual relationship with you and to comply with legal and regulatory requirements. These include the following:

  • To provide our advice, products or services to you
  • To conduct transactions you have requested

KWCS also processes your information for specific business purposes to enable us to give you the best products and service. These include:

  • Market or customer satisfaction research  
  • Audit and record keeping purposes

WHO WE SHARE THIS INFORMATION WITH AND WHY

KWCS takes your privacy very seriously, and we will never knowingly divulge or sell any of your information to 3rd party organisations without getting your express permission first.

However, in order to help us provide the services you require and perform specific tasks for us, we do share some of your information with specific trusted third parties. These include the following:

HOW WE KEEP YOUR INFORMATION SECURE

KWCS is committed to ensuring the confidentiality of the personal information that we retain and/or store and we continue to review our security controls and related policies and procedures to ensure that your personal information remains secure.

KWCS stores your information in the following ways:

  • Electronically, in a password protected spreadsheet. This in turn is stored on password protected PCs located on our premises and Cloud backup servers (owned and managed by DROPBOX), with access limited only to selected K Wilkie Computer Services staff members.
  • On paper worksheets which are locked in a filing cabinet located on K Wilkie Computer Services premises.
  • Data backups requested by you prior to us starting any work on your computer systems that may cause data corruption or deletion (OS re-installations etc) of your data.

HOW WE DISPOSE OF YOUR PERSONAL INFORMATION

Paper copies of worksheets containing personal information are shredded when no longer required.

All customer data that has been backed up to our systems prior to OS reinstallation work etc being carried out, will be stored on password protected storage for a maximum period of 2 weeks after such work is completed to allow for any possible recovery requests.  After which time it will be permanently and securely (electronically shredded) deleted from our systems.

MARKETING AND/OR CUSTOMER FEEDBACK REQUESTS

  • You have the right to data portability – You may request to obtain and reuse your data;  
  • You have the right not to be subject to automated decision-making including profiling.
